We also want to let you know that keeping your personal information safe is very important to us.

We are committed to complying with privacy and data protection laws and being transparent about how we process personal data.

We have policies, procedures and training in place to ensure our employees understand their data protection responsibilities and follow the data protection principles:

● When we gather personal information from you, we will ensure what we collect is adequate, relevant and not excessive to our needs

What personal data do we hold and how did we obtain it?

When you register for an Apollo Arts project, we ask you to complete a consent form to help us keep your child as safe as possible. This means we currently hold personal information about you and/or your child. This information includes (please note that not all information is held for everyone, this is just a list to cover everything):

● Your Name

● Child’s / Children’s Name(s)

● Address

● Gender / Child’s Gender

● Date of Birth / Child’s Date of Birth

● Email Address

● Phone number (home / mobile)

● Medical Conditions / Allergies

● Disabilities

● Mental Illness

● Assessment information (such as Grades / Levels / Exam Results / Progress etc)

Why do we hold your data and what do we use it for?

There are a variety of reasons we hold your data. It is to enable us to:

● Arrange and schedule activities / workshops

● Notify you of changes to activities / workshops

● ensure your / your child's safety (i.e. by taking medical conditions / allergy information)

● keep records - i.e. numbers of participants for funding application purposes.

Third party Data sharing

Some of your information is shared with third parties to allow Apollo Arts to store informationsecurely in the cloud. This includes Google. Apollo holds third party sharing agreements with any companies that store your data and Apollo Arts ensure that each company is GDPR compliant before storing or sharing any information.

Could my information be sent to other countries?

Yes. Google store information on their servers in other countries. GDPR means that they have to comply as they hold data of EU citizens (you). It’s our job to tell you that your information will be stored on their servers which are in other countries.

Laws and Legal Rights

We may disclose your information (including personally identifiable information) if we believe in good faith that we are required to do so in order to comply with an applicable statute, regulation, rule or law, a search warrant a court or regulatory order, or other valid legal process. We may disclose personally identifiable information in special circumstances when we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who may be violating the Apollo Arts Terms and Conditions, to detect fraud, for assistance with delinquent accounts, or to protect the safety and/or security of our users, Apollo Arts or the general public.

How long do you hold my personal data?

Some information needs to be kept for legal reasons. In this case, we will hold information as long as it is required by law or relevant to do so.

General personal information (given in when you complete your consent form with Apollo Arts) will be held until 6 months after a project is completed. It will then be deleted when it is no longer considered relevant.

Can I update my data?

Yes. You can update your personal information at any time by e-mailing info@apolloarts.org.uk. You can also request access to data we hold on you by submitting a Subject Access Request form which can be obtained by contacting Data Protection Lead Daniel Allinson at info@apolloarts.org.uk.

Updates to this policy

This privacy policy may change from time to time. Where practical, we will provide you with an updated policy.
